Applications For 2022 Project Period Erasmus+ Mobility For Studies and Traineeships

Please read the application material carefully and follow the steps while submitting your application. Some parts of the text may change to better describe the application steps in response to changing circumstances and your future relevant questions. Therefore, please check the written announcement and application requirements regularly.
Applications will be accepted from 15.02.2022 to 02.03.2022 for students who wish to receive education or do a traineeship for the 2022-2023 and 2023-2024 Academic Years at the agreement universities abroad within the scope of the 2022 Erasmus+ Exchange Programme.

Our University’s project application for the upcoming 2022 period has not been finalised yet. Thus, the application results and lists of the grant and zero-grant students found eligible participate in the mobility will be announced once they are finalised.

IMPORTANT: The earliest project start date for the 2022 agreement is 1 June 2022. Since the amounts of grant will be detailed in the 2022 agreement, it is impossible to set a start date for a traineeship, student or staff mobility until 1 September 2021.”  The grant will be paid to participants once the grant agreement between Turkish National Agency and the University is concluded and the budget transfer is completed.

Who are eligible to apply for the mobility?

1. Students registered at a higher education institution’s full-time formal higher education programme of any study cycle (associate, bachelor’s, master’s or doctoral degree),

2. a) Students registered at a bachelor’s/associate degree programme who have a cumulative GPA of at least 2.20 out of 4.00,

b) Students registered at a master’s/doctoral degree programme who have a cumulative GPA of at least 2.50 out of 4.00,

3. Students whose transcript is not yet available during the application process; 

a) Students who are registered at a bachelor’s degree programme through vertical transfer must have a GPA of at least 2.20/4.00;

b) Students who have a graduation score of at least 75/100 (for first-year students);

4. To be eligible for the Student Mobility for Studies, students must have the required workload of ECTS (30 ECTS per academic term, 60 ECTS per academic year and 20 ECTS per academic term for an academic year consisting of three terms). Students who have no course load. For example, for master’s or PhD students who have begun their thesis-writing process, a learning agreement can be arranged in order for them to have the required course load equivalent to 30 ECTS. In this case, the above-mentioned students must inform and receive approval from the head of department.

5. For students who participated in the 2014-2020 Erasmus+ mobility for higher education during their cycle of study, the total duration of the mobility including the new period cannot exceed 12 months within the same cycle of study.

Who are not eligible to apply for the mobility?

  1. Students at the English and Russian Preparatory Programme and those enrolled in a distance learning programme are not eligible to apply.
  2. Students who have graduated from the Faculty of Medicine or Dentistry and have been placed in a higher education institution through a central examination (such as TUS, DUS, and EUS) and still continue their residency cannot benefit from the Erasmus Student Mobility if they are not registered as an active student at the relevant higher education institution.

Double major students can only apply for one of their majors.

Minor students can apply for their major department.

Mobility for Traineeships 

  1. The mobility for traineeships is not compulsory for a diploma programme. However, students must do their traineeships in an institution or organisation whose sectoral activities are relevant to their vocational training programme. 
  2. The suitable workplaces for a traineeship include the following, but not limited to: 

- a public or private, a small, medium or large enterprise; 

- a public body at local, regional or national level; 

- embassies or consular offices of the sending Programme Country; 

- a social partner or other representative of working life, including chambers of commerce, craft/professional associations and trade unions; 

- a research institute; 

- a foundation; 

- a school/institute/educational centre (at any level, from pre-school to upper secondary education, and including vocational education and adult education);  

- a non-profit organisation, association, non-governmental organisation; 

- a body providing career guidance, professional counselling and information services;  

- a higher education institution (The receiving institution located in a Programme Country must be awarded with an ECHE.)

  1. Students can participate in the Student Mobility for Traineeships in any year of their studies, and senior students can participate in the mobility within 12 months following their graduation. Senior students who wish to participate in the mobility after graduation must apply before they graduate, when they are still active students in their degree programme (associate, bachelor’s or doctoral degree). Graduates cannot apply for the mobility.

Short-Term Mobility for Doctoral Candidates

Doctoral candidates and recent graduates (‘post-docs’)* can undertake short-term or long-term physical study or traineeship mobility periods abroad. Adding a virtual component to the physical mobility is encouraged. For short-term doctoral mobility, the physical mobility must last between 5 days and 30 days. There is no eligibility criterion for duration of a virtual component. However, a blended (physical and virtual) mobility for studies must award a minimum of 3 ECTS credits.

*Post-docs may participate in traineeships with the same requirements as any other recent graduate within 12 months of graduating.


How to apply? What are the application requirements? Where to submit the application documents?

Applications from students who wish to study at an agreement university for 2022-2023 and 2023-2024 Academic Years as part of the Erasmus+ Exchange Programme will be accepted from 15.02.2022 to 02.03.2022

Required Documents for Application

-Online Application*

-Transcript (must be up-to-date and certified)

-Statement of student status (must be up-to-date and certified)

- ID card or passport (If the student holds dual citizenship, both ID cards or passports must be submitted.)

*Barcoded documents issued on E-Government will be valid.

Important Note: The transcript and statement of student status must be issued within 15 days before the application dates; otherwise, the application will be deemed invalid.

Incomplete or incorrect applications will be viewed as invalid, and those students who submitted such application will not be able to take the Erasmus Language Proficiency Exam. 

English Proficiency Exam

Students who wish to study abroad and do an internship as part of the Erasmus + Exchange Programme must take the written exam which will take place face-toface on 05.03.2022, as well as the online speaking exam between 07.03.2022 and 11.03.2022. The lists of applicants who will sit for the exam and the exam hours will be announced at a later date on the website’s “announcements” section. 

To pass the exam and become eligible for the mobility, students must receive a minimum score from the exam (total score obtained from the speaking and written exams) corresponding to B2 level according to the CEFR system. The minimum cumulative score required to pass the exam is 70 (seventy).

Students who will not take the foreign language proficiency exam to be administered by our University can submit a letter including their scores of an exam deemed equivalent by ÖSYM (Centre for Assessment, Selection and Placement) (such as TOEFL, IBT, PTE Academic, CPE and CAE). The score obtained from such equivalent exams must correspond to the minimum score required (75) for YDS. The score obtained from an equivalent exam will be deemed valid and evaluated according to ÖSYM’s Score Conversion Scale.

Important Note: The letter must be submitted to the online application system along with the copy of your exam result. Unsigned letters will not be considered for evaluation or deemed valid.

Students who have not scored 60 (sixty) in the written exam will not be able to take the speaking exam.

Students who have not get a minimum score in the written exam cannot take the speaking exam. Similarly, students who have not scored at least 60, which is the minimum score, in the speaking exam will be listed as “unsuccessful", regardless of their cumulative grade points. Students who failed to achieve a minimum score in the foreign language exam will not be considered for evaluation.

Selection Criteria

Assessment criteria and cumulative scores to evaluate the mobility applications for the 2022 agreement period are as follows:

Applying for two mobility programmes at the same time (This is applicable to the mobility programme students will select.) -10 points
For those who are admitted to the mobility: Not participating in the meetings or trainings organised by the higher education institution about the mobility without giving any justifiable excuse (Only applicable if they reapply for the Erasmus Programme) -5 points
Not taking the foreign language exam without giving any justifiable excuse (Only applicable if they reapply for the Erasmus Programme) -5 points

*If a student is found eligible for the mobility in a country of which they are a citizen and they have not notified the Erasmus Office during the application process, they will be disentitled to participate in the mobility. 

Students are ranked according to their total scores, and placed in accordance with their preference lists and quotas of the universities. If they wish, students can renounce their right to claim financial support (grant). Students who are not eligible to receive a grant can benefit from the programme as a “zero-grant” student.

Important points to note: The mutual agreements for the new period are expected to be concluded until December 2022. Therefore, the list of agreement universities will be regularly updated. You can check out the list.

The agreements whose expiry period is the 2022-2023 Academic Year are only valid for a year.

Additional Grant Support 

Additional grant support to be included in the amount of grant is available for the disadvantageous participants. To apply for the additional grant support, the disadvantageous participants must have fewer financial and social opportunities and must: 

1. be subject to Law no. 2828 (for whom a decision on their protection, care or housing made by the Ministry of Family and Social Policy under the Law no. 2828), 

2. receive orphan’s pension, 

3. be a child of a veteran or martyr, and 

4. receive survivor benefits (orphan’s pension or disability pension), or if one of the applicant’s family members (mother, father or guardian) receives survivor benefits, they are eligible to apply (The applicant must submit a document issued by some institutions such as the ministries, social assistance and solidarity foundations, Directorate General of Foundations, Turkish Red Crescent, AFAD (Disaster and Emergency Management Center) to prove that they are receiving survivor benefits at the time they apply for the mobility programme.) 

Those who meet the above-mentioned conditions and provide documentary evidence can receive Additional Grant Support as described below, depending on the type of mobility:

*In this case, the participant is not eligible to receive additional support.

Students and recent graduates with fewer opportunities participating in the short-term mobility will receive top-up amount to the travel support as set out below:

Students and recent graduates not receiving travel support - Top-up Amount to Individual Support for Green Travel

 Students and recent graduates who do not receive travel support can opt for green travel. In this case, they will receive a single contribution of 50 EUR as a top-up amount to the individual support and up to 4 days of additional individual support to cover travel days for a return trip, if relevant.

Erasmus+ Inclusion Support  

Erasmus+ promotes the participation of people with special needs in the programme. People whose physical, mental or health-related conditions are such that their participation in Erasmus+ would not be possible without extra financial support are potential participants.

Students must submit their request including the report for Erasmus+ Additional Grant to the Erasmus Office (For instance, if they request an Additional Grant Support due to a disability, they must attach the medical report [it must be issued within 3 months before the application] which includes the necessary information about the disability and the level of the disability, or a copy of their disability ID card. A medical report is also required for those with chronic diseases.).   

Once found eligible, students must attach the necessary documents (including that the receiving higher education institution is informed of the guest student/staff member is a participant with special needs and the institution’s undertaking that it has the necessary equipment to host the participant with special needs) to the form. The additional grant amounts and the grounds for such request must be explained in detail in the form as requested.

The participant can request additional grant support during the term of the agreement, however, in any case, the application for such requests must be completed up to 60 days before the agreement’s expiration date. The participant cannot request additional grant support once the mobility period expires.

Important Note: You must submit the required documents into the online application system. Submissions made later than the application deadlline will not be considered for evaluation.

Quota

Students are ranked according to their total scores, and placed in accordance with their preference lists and quotas of the universities. Our University’s project application for the 2022 period, and the amounts of grant to be allocated to our University are not final yet. Therefore, the quotas for the grant students are yet to be decided. Therefore, the quotas for the grant students are still undetermined. Once the quotas are announced, the Erasmus+ Commission will decide on the allocation to each faculty/school/institute/programme, and the quota for each department/programme will be for one student.

If the amount of grant allocated to our university by the Turkish National Agency is found insufficient for potential beneficiaries, the allocation of the grant amount shall be made according to the following conditions:

1. Priority will be given to students who have never participated in a mobility before.

2. The allocation will be in balance, considering the departments, countries, and gender.

3. The number of agreements based on faculties and/or departments, as well as the academic performance of these faculties and/or departments, will be in balance.

However, whether or not all admitted students will receive a grant or not will remain unclear until the Turkish National Agency allocates the grants. Waitlisted students can benefit from the mobility without grant, depending on the quotas of the agreement universities. Students who pass the Erasmus Language Proficiency Exam and placed on the quota of the university have the status of candidate students. The quotas for each department/programme and the allocation of grant amounts will be finalised once the Turkish National Agency announces the grant amounts allocated to our University.

Students who are eligible to receive grant as part of the Erasmus+ Student Mobility for Studies can receive grant for only one academic term (a maximum of 6 months). If they wish, they can benefit from the mobility for the following academic term without grant, for which they need approval from the receiving institution and our university.

Students who are eligible to receive a minimum amount of grant to be set out by the National Agency as part of the Erasmus+ Student Mobility for Traineeships can receive grant for a maximum of 2 months. If they wish, they can benefit from the mobility and continue their traineeships after two months without grant.

Monthly amounts of grant based on the countries travelled as part of the 2022 Project  

The grant is not intended to cover all the expenses related to the student mobility, but it is a contribution to the costs.

  1. If the mobilities are affected by the pandemic or any other force majeure, the decisions of the National Agency will be in effect and relevant announcements will be made when necessary. Therefore, our University and the Turkish National Agency cannot be held responsible for any material or non-material damages that may arise. 
  2. Each country or university has its own set of rules for handling the COVID-19 pandemic. Hence, students must follow the rules of the relevant country’s or university’s concerning COVID-19 vaccination, testing and qurantine.
