Applications For 2021 Project Period Erasmus+ Exchange Programme For Studies and Traineeships (2021-1-TR01-KA131-HED-000003435 Project)

Applications will be accepted from 01.07.2021 to 16.07.2021 for our students who wish to receive education or do a traineeship for the 2021-2022 and 2022-2023 Academic Year at the agreement universities abroad within the framework of the Erasmus+ Exchange Programme.

“Turkey and the European Union have not concluded the agreement on participation in the new term Erasmus+ Programme 2021-2027 and the 2021 Delegation Agreement.  Our University and the Turkish National Agency cannot be held responsible for any material or non-material damages that may arise from any delays or problems during the processes involving the conclusion of the agreements.”

Additionally, our University’s project application for the upcoming period has not been finalised yet. Therefore, the application results and lists of the grant and zero-grant students to participate in the mobility will be announced once they are finalised. In case of a delay in the student application process, please bear in mind that the Mobility for the Fall Term 2021-2022 may be postponed to the Spring Term of the 2021-2022 Academic Year. Our University and the Turkish National Agency cannot be held responsible for any material or non-material damages that may arise from any delays or problems during these processes.

IMPORTANT: The earliest project start date for the 2021 agreement is 1 September 2021.  Since the amounts of grant will be detailed in the 2021 agreement, it is impossible to set a start date for a traineeship, student or staff mobility until 1 September 2021.” The grant will be paid to the participants once the grant agreement between the Turkish National Agency and the University is concluded and the budget transfer is completed. 

Who can apply?

  1. Full-time students who are registered at a higher education institution’s formal higher education programme of any study cycle (Associate Degree, Bachelor’s Degree, Master’s or Doctoral Degree).
  2. a) Students registered at a Bachelor’s/Associate Degree programme who have a cumulative GPA of at least 2.20 out of 4.00. 

b) Students registered at a Master’s Degree or Doctoral Degree programme who have a cumulative GPA of at least 2.50 out of 4.00. 

  1. Students whose transcript is not yet available during the application process
  2. Students who are registered at a bachelor’s degree programme through vertical transfer must have a GPA of at least 2.20/4.00
  3. Students who have a graduation score of at least 75/100 (for first-year students)
  4. To be eligible for the Student Mobility for Studies, students must have the required workload of ECTS (30 ECTS Credits per Academic Term, 60 ECTS Credits per Academic Year and 20 ECTS for one term in three-semester Education).
  5. For those students who participated in the 2014-2020 mobility, the total duration of the mobility activities including the new period cannot exceed 12 months within the same cycle of study. Students who have no course load. For example, for master’s degree or doctoral degree students who have begun the thesis-writing process, a learning agreement can be arranged in order for students to have the required course load equivalent to 30 ECTS. In this case, the above-mentioned students must inform and receive approval from the Head of the Programme.

Who are not Eligible to Apply for the Mobility:

  1. Students at the Preparatory Programme and those enrolled in a Distance Learning programme are not eligible to apply.
  2. Students who have graduated from the Faculty of Medicine or Dentistry, and have been placed in a higher education institution through a central examination (such as TUS, DUS, and EUS), and continue their residency cannot benefit from the Erasmus Student Mobility if they are not actively registered student at the relevant higher education institution.

Double Major students can apply for only one of their Majors.

Minor students can apply for their major department.

Mobility for Traineeships:

  1. For a diploma programme, a traineeship is not compulsory. However, students must do their traineeship in an institution or organisation whose sectoral activities are relevant to their vocational training programme. 

2. The suitable workplaces for a traineeship include the following, but not limited to: 

- A public body at local, regional or national level; 

- Embassies or consular offices of the sending Programme Country; 

- A social partner or other representative of working life, including chambers of commerce, craft/professional associations and trade unions; 

- A research institute; 

- A foundation; 

- A school/institute/educational centre (at any level, from pre-school to upper secondary education, and including vocational education and adult education);  

- A non-profit organisation, association, non-governmental organisation; 

- A body providing career guidance, professional counselling and information services; 

- A higher education institution (The receiving institution located in a Programme Country must be awarded with an ECHE.)

  1. Students can participate in the Student Mobility for Traineeship each year of their studies, and senior students can participate in the mobility within 12 months following their graduation. Senior students who wish to participate in the mobility after graduation must apply before they graduate, when they are still active students in their degree programme (Associate, bachelor’s or Doctoral Degree). Graduates cannot apply for the Student Mobility for Traineeships.

Short-Term Mobility for Doctoral Candidates
To better meet the diverse learning and training needs of doctoral candidates and to ensure equal opportunities, doctoral candidates and recent graduates (‘post-docs’) can undertake short-term or long-term physical study or traineeship mobility periods abroad. Adding a virtual component to the physical mobility is encouraged. For short-term doctoral mobility, the physical mobility must last between 5 days and 30 days. There is no eligibility criterion for duration of a virtual component. However, a blended (physical and virtual) mobility for studies must award a minimum of 3 ECTS credits.

Post-docs may participate in traineeships with the same requirements as any other recent graduate within 12 months of graduating.

How to apply? What are the application requirements? Where to submit the application documents?
Application for the Erasmus+ Exchange Programme (Erasmus+ and Erasmus+ Mobility for Traineeships that aim the exchange of students between the Higher Education Institutions around Europe) opens on July 01 and the deadline is July 16, 2021. 

Duration of the Student Mobility for Studies is 1 academic term or 1 academic year. Duration of the Student Mobility for Traineeships is at least 2 months and it cannot exceed 12 months.

Incomplete or incorrect applications will be viewed as invalid, and those students who submitted such application will not be able to take the Erasmus Language Proficiency Exam.

English Proficiency Exam for Exchange Programmes
Students who would like to study abroad and do internship within the scope of Erasmus + Exchange Program are required to take the written exam which will take place on 04.08.2021, as well as the speaking exam between 09.08.2021 and 19.08.2021. Exam hours will be announced later.

To pass the exam and become eligible for the Student Mobility, students must receive a minimum score from the English exam (total score obtained from the verbal and written exams) corresponding to B2 level according to the CEFR system. The minimum score required to pass the exam is 70 (seventy).

The list of applicants to take the exam and exam hours will later be announced on the website’s “announcements” section.

Students who will not take the Foreign Language Proficiency Exam to be administered by our University can submit a letter including their scores of an exam deemed equivalent by ÖSYM (Centre for Assessment, Selection and Placement) (such as TOEFL, IBT, PTE Academic, CPE and CAE). The score obtained from such equivalent exams must correspond to the minimum score required (75) for YDS. The score obtained from an equivalent exam will be deemed valid and evaluated according to ÖSYM’s Score Conversion Scale. 

Students who have not scored 60 (sixty) in the written exam will not be able to take the speaking exam.

Selection Criteria

Assessment criteria and weighted scores to evaluate the mobility applications for the 2021 agreement period are as follows:

For those who are admitted to the Student Mobility:

Not participating in the meetings or trainings organised by the higher education institution regarding the Student Mobility without giving any justifiable excuse (Only applicable if they reapply for the Erasmus Programme)

Not taking the language exam without giving any justifiable excuse (Only applicable if they reapply for the Erasmus Programme) -5 points

Students are ranked according to their total scores, and placed in accordance with their preference lists and quotas of the universities. 

If they wish, students can renounce their right to claim financial support (grant). Students who are not eligible to receive a grant can benefit from the programme as a “zero-grant” student.

The mutual agreements for the new period are expected to be concluded as of June 2021. The existing mutual agreements will remain in force until the beginning of the 2022-2023 Academic Year. Thus, students who will apply for the 2022-2023 Academic Year can submit their preferences concerning the receiving universities after the mutual agreements are signed.

Additional Grant Support 
Additional grant support to be included in the amount of grant is available for the disadvantageous participants. To apply for the additional grant support, the disadvantageous participants must have fewer financial and social opportunities and meet the following conditions: 

1. Being subject to Law no. 2828 (for whom there is a court ruling concerning protection, care or housing made by the Ministry of Family and Social Policy under Law no. 2828) 

2. Receiving orphan’s pension 

3. Becoming a child of a veteran or martyr 

4. Receiving survivor benefits (orphan’s pension or disability pension), or if one of the applicant’s family members (mother, father or guardian) receives survivor benefits, they are eligible to apply (The applicant must submit a document issued by some institutions such as the ministries, social assistance and solidarity foundations, Directorate General of Foundations, Turkish Red Crescent, AFAD (Disaster and Emergency Management Center) to prove that they are receiving survivor benefits at the time they apply for the mobility programme.) 

Those students who meet the above-mentioned conditions and provide documentary evidence can receive Additional Grant Support as described below, depending on the type of mobility:

Students and recent graduates not receiving travel support - Top-up Amount to Individual Support for Green Travel
Students and recent graduates who do not receive travel support can opt for green travel. In this case, they will receive a single contribution of 50 EUR as a top-up amount to the individual support and up to 4 days of additional individual support to cover travel days for a return trip, if relevant.

Erasmus+ Programme Inclusion Support
Erasmus+ promotes the participation of people with special needs in the programme. People whose physical, mental or health-related conditions are such that their participation in Erasmus+ would not be possible without extra financial support are potential participants. 

Additional Grant Support
Students must submit their request including the report for Erasmus+ Additional Grant to the Erasmus Office (For instance, if they request an Additional Grant Support due to a disability, they must attach the medical report (the report must be issued within 3 months before the application) which includes the necessary information about the disability and the level of the disability, or a copy of their disability ID card. A medical report is also required for those with chronic diseases.) 

Once found eligible, students must attach the necessary documents (including that the receiving higher education institution is informed of the guest student/staff member is a participant with special needs and the institution’s undertaking that it has the necessary equipment to host the participant with special needs) to the form. The additional grant amounts and the grounds for such request must be explained in detail in the form as requested. The participant can request additional grant support during the term of the agreement, however, in any case, the application for such requests must be completed up to 60 days before the agreement’s expiration date. The participant cannot request additional grant support once the mobility period expires.

Quota
Students are ranked according to their total scores, and placed in accordance with their preference lists and quotas of the universities. Our University’s project application for the upcoming period, and the amounts of grant to be allocated to our University are not final yet. Therefore, the quotas for the grant students are as yet undetermined. Once the quotas are announced, the Erasmus Commission will allocate to the each Faculty/School/Institute/Programme and the quota for each department/programme will be for two people. But, whether all the admitted students are going to receive a grant or not will remain unclear until the Turkish National Agency allocates the grants. Waitlisted students can benefit from the mobility programme, depending on quotas of the agreement universities. Students who pass the Erasmus Language Proficiency Exam and placed on the quota of the university have the status of candidate students. The quotas for the departments/programmes and the allocation of grant amounts will be finalised once the announcement regarding the grant amounts allocated to our University by the Turkish National Agency is issued.

Students who are eligible to receive a grant as part of the Erasmus+ Student Mobility for Studies can receive a grant for only one academic term (a maximum of 6 months). If they wish, they can benefit from the mobility in the following academic term without a grant, for which they need approval from the receiving institution and our university.

Students who are eligible to receive a minimum amount of grant to be set out by the National Agency as part of the Erasmus+ Student Mobility for Traineeships can receive a grant for a maximum of 2 months If they wish, they can benefit from the mobility and continue their traineeships after two months without a grant.

Monthly Amounts of Grant Based on the Countries Travelled within the scope of the 2021 Erasmus Project.  

The grant is not intended to cover all the expenses related to the student mobility, it is given as a contribution to the costs.
